Accounting & Administrative Office Team Member - Front Desk Position in Richmond, Virginia

Job Description

The Accounting & Administrative team in the Richmond Division is a small group responsible for a number of important functions that must happen every day, accurately, and on a timely basis. Team members have certain functions that are their primary responsibility, and just as importantly, they are expected to be proficient in many other functions in the department. This cross-functional proficiency is essential to fulfilling the team’s overall responsibility of supporting the ongoing operations of the Richmond Division. Team members should expect to be asked and proactively engage in supporting the overall workflow in the department during vacations, unexpected absences, or general ebbs and flows in workload. This is a full-time position. 

Compensation

Pay Rate: $18 - $20/hour, depending on experience.
Full benefit package including vacation, medical, 401k, and tuition assistance

Specific Responsibilities

Functions this position is expected to master include:

Front Desk

  • Be physically present at the front desk to greet visitors. Manage the use of all sign in/out procedures.
  • Cover the incoming main phone line.   Ensure customers find the person they need to speak with. Be an expert in the use of the phone system.
  • Maintain the stock in the supply cabinet.
  • Maintain the stock of the paper supply.
  • Maintain color copies for the shop.
  • Place orders for office supplies.
  • Process incoming and outgoing mail, including managing the postage machine.
  • Support the management of the Richmond Division with certain miscellaneous tasks including ordering lunches, flowers, and other general needs.
  • Update and distribute certain daily or weekly reports as assigned.
  • Scanning & saving check/credit card run
  • Scanning & Saving Invoices
  • Match pinks for check run and greens for credit card run.

  • Ability to multi-task and complete these functions with interruption
  • Have attention for details.
  • Ability to work in a fast-paced environment
  • Remain upbeat and supportive.
